Acceptance Of Booking
When we accept your booking, we will issue you the (contact person) with a booking confirmation invoice and a contract will exist automatically between you and Camptrek Safaris Limited from the date we issue the confirmation invoice. Please refer to your booking confirmation invoice for details regarding the 50% down payment of the deposit, final 50% payments, and services to be offered by Camptrek Safaris including how to make the payment. The payment invoice will have both dollar and euro accounts which will only be paid in our company accounts and not to any individual Name accounts. Payment of the balance of the trip price is due on arrival before the commencement of your safari, except otherwise. If this balance is not paid on arrival, we reserve the right to treat your booking as canceled.
NOTE: Once you confirm your booking with us, the contract becomes effective upon agreement with the designated contact person. The contract will remain valid from the start date of your safari, including the specified pick-up location, until the conclusion of your safari at your preferred drop-off point on the final date as specified by your Itinerary.
Your Details
For us to confirm your travel arrangements, you must provide all requested details with a 50% deposit as the down payment trip price. Necessary details vary by trip; they include but are not limited to full name as per passport, date of birth, nationality, passport number, passport issue, and expiry date, and any pre-existing medical conditions you have that may affect your ability to complete your travel arrangement
Our Safaris
Camptrek Safaris offers only private, Family, and same-group-of-people safaris. We do not offer shared safaris. E.g., people joining your safari. Meaning when you book with us, your booking quotation will only be for the people booked by you and no other person will join your safari
Prices And Surcharges
Camptrek Safaris trip prices are subject to variable and seasonal pricing, both of which are standard practices within the tourism industry because of the various seasons (low & high). This means our trip prices may vary at any time in accordance with demand, market conditions, and availability. Your best option if you like the price you see is to book at that time. Any reduced pricing or discounts that may become available after you have paid your deposit will not apply. If you wish to cancel your booking to take advantage of a cheaper price or season, full cancellation conditions apply as set out.
Prices are based on currency exchange rates as of every month. Note that prices may vary depending on which currency the booking is made. We reserve the right to impose surcharges up to 60 days before departure due to unfavorable changes in exchange rates, increases in park fees or other transportation costs, increases in local operator costs, taxes, or if government action should require us to do so.
Cancellation by you
If you cancel some or all portions of your booking the cancellation terms set out below will apply. A cancellation will only be effective when we receive written confirmation that you have sent to your relevant sales representative of the cancellation.
If you cancel a trip:
- 60 days or more before departure, we will refund 100% of the deposit or hold your deposit amount as a credit depending on your preference.
- between 31 and 55 days before departure, we charge a cancellation fee of 50% of the total booking cost.
- between 15 and 30 days before departure, we charge a cancellation fee of 70% of the total booking cost.
- Between 14 days or fewer before departure, we charge a cancellation fee of 100% of the booking.
Cancellation By Us:
Our trips are guaranteed to depart once they have one fully paid customer unless specifically stated otherwise and subject to reasonable itinerary changes as described in these Booking Conditions. If we cancel your trip, you can transfer the amounts paid to an alternate departure date or receive a 100% refund, unless your trip is canceled due to a Force Majeure Event. Cancellations due to Unavoidable circumstances If a trip is canceled due to unforeseen Events, we can offer you a choice of:
- A 100% credit of monies paid for your trip; or
- A refund minus unrecoverable costs.
- If the cancellation is due to a Force Majeure Event occurring after a trip has commenced, we can offer you a choice of – 100% credit for the days that remain on your trip; or Refund you 100% minus unrecoverable costs of the days that remain on your trip. The unforeseen incidents include but are not limited to any Major Calamities; war; civil commotion; riots; blockade or embargo; fire; explosions; breakdowns; union disputes; earthquakes; epidemics, pandemics, or other health emergencies; floods; windstorms or other extreme weather events; lack or failure of courses of supply; passage of any law, order, proclamation, regulation, ordinance, demand, requisition or requirement or any other act of any government authority, beyond the reasonable control of the parties, whether or not foreseeable, which would make it dangerous or not viable for a trip to commence or continue. In the event of any cancellation, there will be no claim for damages by either party against the other and we are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.
Travel Insurance:
Camptrek Safaris Limited provides all our clients with AMREF flying doctors Evacuation cover in case of any accident which is Not a medical insurance cover. We recommend all our travelers have traveling insurance which must be taken out at the time of booking. Your travel insurance must provide cover against personal accidents, and death. We also strongly recommend it covers cancellation, curtailment, personal liability, loss of luggage, and personal effects.
Change Of Itinerary:
You appreciate and acknowledge that the nature of this type of travel requires considerable flexibility and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities, and mode of transport may be subject to alteration without prior notice due to local circumstances or events. While we endeavor to operate all trips as described we reserve the right to change the trip itinerary.
Before departure: If we make a major change, we will inform you as soon as reasonably possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day to five of the itineraries. When a major change is made you may choose between accepting the change, obtaining a refund of money paid on the land portion of the trip only, or accepting an alternative trip offered.
After departure: We reserve the right to change an itinerary after departure due to local circumstances or unforeseen circumstances Event. In such emergency circumstances, the additional cost of any necessary itinerary alterations will be covered by you.
Accommodation
At Camptrek Safaris, we want to clarify that we do not directly operate, manage, or own any of the lodges included in our offerings. Our partnerships with these lodges are carefully chosen based on consistently high ratings and reviews from reputable platforms like Google, TripAdvisor, and Booking.com. While we visit some lodges, it is not feasible for us to visit all of them. However, we continuously monitor feedback, and if we receive complaints from three or more clients about a particular lodge, we reserve the right to reassess our partnership with that establishment. Please note that Camptrek Safaris is not liable for any issues that may arise during your stay at a lodge. Refunds cannot be requested unless the situation falls under our established cancellation policy.
