Booking Terms, Payment & Cancellation Policy

These terms
and conditions outline the agreement between the client and Camptrek Safaris Limited regarding safari bookings, payments, cancellations, and
responsibilities during travel.

By
confirming a booking and making any payment toward a safari arranged by
Camptrek Safaris Limited, the client acknowledges that they have read, understood, and agreed to the following terms.

1. Booking Confirmation & Contract

A binding contract between the client and Camptrek Safaris Limited comes into effect once a booking is confirmed and the required deposit payment has been received.

  • The person making the booking accepts these terms on behalf of all persons included in the reservation.
  • All clients must ensure that the names provided for booking match exactly with their passport details.
 

2. Deposit & Payment Terms

To secure your booking, a 50% deposit is required at the time of booking.

  • The remaining balance is due 1โ€“45 days prior to the commencement of your safari.
  • Payment can be made via bank transfer to our official company accounts or via our secure online payment link.
  • Clients are kindly requested to confirm payments promptly to avoid delays in processing your booking.

Important: If the balance is not received by the due date, Camptrek Safaris reserves the right to treat the booking as canceled.

 

3. Payment Methods

Payments can be made through the following methods:

  • Bank transfer
  • Credit or debit card payments
  • Online payment gateways where
    available

Note: A 3.5% bank surcharge fee applies to all credit or debit card payments and is non-refundable. Clients are responsible for any international transfer fees charged by their bank.

4. Cancellation Policy

We understand that travel plans may change unexpectedly. Our cancellation policy is structured to be fair while allowing us to recover costs already incurred in preparing your safari.

All cancellations must be submitted in writing via email to Camptrek Safaris Limited.

5. Supplier Cancellation Policies

Camptrek Safaris Limited works with independent third-party suppliers, including lodges, airlines, and transport providers throughout East and Southern Africa.

  • These suppliers may have their
    own cancellation policies and deadlines.
  • Where supplier policies are
    stricter than the above cancellation terms, those policies will apply and any non-recoverable costs will be deducted from applicable refunds.
 

6. Refund Policy

Refunds, where applicable, will only be processed after confirmation of recoverable amounts from lodges, airlines, and other suppliers involved in the itinerary.

All refunds will be less:

  • Non-recoverable supplier costs
  • Credit card processing fees
  • Bank transfer charges
  • Any expenses already incurred
    in organizing the safari

Refund processing times may vary depending on supplier timelines.

 

7.Changes to Bookings / Rebooking

Any requested changes to confirmed itineraries are subject to availability and may incur additional costs.

A rebooking / amendment fee of 5% of the total safari cost will apply to any confirmed booking that is modified after confirmation.

Changes requested close to the safari departure date may be treated as a cancellation and rebooking depending on supplier policies.

All rebooking requests must be submitted in writing via email and will only be confirmed once availability and revised costs have been agreed.

 

8. Travel Insurance

All clients are strongly advised to obtain comprehensive travel insurance covering:

  • Trip cancellation
  • Medical expenses
  • Personal injury
  • Emergency evacuation
  • Loss of luggage
  • Flight delays or interruptions

Camptrek Safaris Limited will not be responsible for any losses incurred due to failure to obtain adequate travel insurance.

 

9. Liability

Camptrek Safaris Limited acts as an intermediary between clients and third-party service providers including lodges, airlines, park authorities, and transportation companies throughout East and Southern Africa.

While every effort is made to ensure the highest standards of service, Camptrek Safaris Limited shall not be held liable for:

  • Injury, illness, or accidents
  • Loss or damage to personal
    property
  • Delays caused by weather, road
    conditions, or mechanical issues
  • Airline delays or cancellations
  • Actions or failures of
    third-party service providers

Participation in safari activities is undertaken at the clientโ€™s own risk.

 

10. Force Majeure

Camptrek Safaris Limited shall not be held responsible for cancellations, delays, or changes caused by circumstances beyond its control, including but not limited to:

  • Natural disasters
  • Government restrictions
  • Political unrest
  • Pandemics or health emergencies
  • Airline disruptions
  • Park closures

In such situations, Camptrek Safaris Limited will make reasonable efforts to offer alternative arrangements or reschedule the safari where possible.

 

11. Client Responsibilities

Clients are responsible for ensuring they have:

  • Valid passports
  • Required visas
  • Necessary vaccinations
  • Travel insurance coverage

Failure to meet entry requirements for any country in East or Southern Africa included in the itinerary will not be considered grounds for a refund.

 

12. Jurisdiction and Governing Law

These booking terms and conditions shall be governed by and interpreted in accordance with the laws of Kenya.

Any disputes arising from a booking with Camptrek Safaris Limited shall be subject to the exclusive jurisdiction of the courts of Kenya.

 

13. Payment Disputes & Chargebacks

By making payment toward a safari booking, the client agrees not to initiate any chargeback or payment dispute with their bank or credit card provider without first attempting to resolve the matter directly with Camptrek Safaris Limited.

If a chargeback is initiated without reasonable cause or in violation of these agreed terms and conditions, Camptrek Safaris Limited reserves the right to pursue recovery of the disputed funds, including any associated legal or administrative costs.

 

14. Acceptance of Terms

By confirming a safari booking and making payment, the client acknowledges acceptance of these terms and conditions.

These terms constitute the full agreement between the client and Camptrek Safaris Limited.
